Salon Receptionist Privacy Policy

Effective date: January 1, 2026

Mobile Receptionist LLC, doing business as Salon Receptionist ("Salon Receptionist," "we," "us," or "our"), provides virtual receptionist, client communication, appointment-booking, and salon operations support services. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit salonreceptionist.com, communicate with us, purchase a service, or use our services.

1. Information We Collect

We may collect the following categories of information:

  • Business and contact information: name, business name, title, email address, telephone number, mailing address, and account contacts.

  • Account and service information: selected plan, preferences, salon hours, services, pricing, team information, booking rules, scripts, policies, and instructions provided during onboarding or support.

  • Payment and transaction information: subscription status, invoices, payment history, and limited billing details. Payments are processed by Stripe or another payment processor; we generally do not receive full payment-card numbers.

  • Client information processed for our customers: names, telephone numbers, email addresses, appointment details, service history, booking requests, messages, and other information needed to provide receptionist or operations support.

  • Communications information: emails, texts, direct messages, call details, support requests, and, where enabled and lawfully disclosed, call recordings or transcripts.

  • Technical information: IP address, browser and device information, pages visited, referring URLs, cookies, and similar usage data.

Please do not provide sensitive personal information that is unnecessary for us to perform the services.

2. How We Use Information

We may use information to:

  • provide, configure, personalize, and improve our services;

  • answer calls and messages, manage appointments, and follow customer instructions;

  • create and administer accounts, subscriptions, onboarding, and customer support;

  • process payments, invoices, renewals, cancellations, and overage charges;

  • communicate about services, updates, security, billing, and support;

  • monitor service quality, usage allowances, and operational performance;

  • prevent fraud, misuse, security incidents, and legal violations;

  • comply with applicable law and enforce our agreements; and

  • create aggregated or de-identified insights that do not reasonably identify an individual.

3. Information We Process for Our Business Customers

When we handle a salon's calls, messages, appointments, or client records, we generally process that information on behalf of the salon. The salon determines why the information is collected and how it is used, and Salon Receptionist acts as a service provider or processor.

Our business customers are responsible for providing any notices and obtaining any permissions required for us to access their systems and communicate with their clients. Requests concerning a salon client's appointment or personal information should ordinarily be directed to the salon with which the client has a relationship.

4. How We Disclose Information

We may disclose information to:

  • Service providers that support payment processing, telecommunications, cloud hosting, analytics, security, customer support, scheduling, and business operations;

  • Booking and communications platforms selected or authorized by our customers, including the customer's appointment software, phone system, text service, or social-media inbox;

  • Professional advisers such as attorneys, accountants, insurers, and auditors;

  • Government authorities or other parties when reasonably necessary to comply with law, protect rights and safety, investigate fraud, or enforce our agreements; and

  • A successor organization in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.

We do not sell personal information for money. We do not disclose salon-client information for cross-context behavioral advertising.

5. Cookies and Analytics

Our website may use necessary cookies and similar technologies to operate the site, remember preferences, understand website use, and evaluate marketing performance. You can control cookies through your browser settings. Disabling some cookies may affect website functionality.

6. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain business and transaction records, resolve disputes, enforce agreements, meet legal obligations, and protect our systems. Retention periods vary according to the type of information, the customer's instructions, and applicable law. We delete or de-identify information when it is no longer reasonably required.

7. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include access controls, account authentication, vendor oversight, and workforce confidentiality requirements. No system or transmission method is completely secure, and we cannot guarantee absolute security.

8. Your Choices and Privacy Rights

Depending on where you live and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. You may also withdraw consent where processing is based on consent.

To submit a request, contact us using the information below. We may need to verify your identity and authority. If we process information solely for one of our business customers, we may direct the request to that customer.

9. Children's Privacy

Our website and services are intended for businesses and adults. They are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through our website.

10. Third-Party Services
